Administration Assistant - HR

Job Introduction

We have an exciting opportunity for an experienced Administration Assistant to join our HR team at Imperial College Healthcare NHS Trust. The role will predominately be based at St Mary’s Hospital, Paddington but will also require you to travel to Charing Cross Hospital and Hammersmith Hospital.

You will work directly with the HR Business Partner and the Operations team to ensure the HR Administration at the contract runs smoothly, is of high quality, accurate and meets the required deadlines.

If you have proven administration experience, are self-motivated and have great organisational skills this is a fantastic opportunity for you.

Role Responsibility

  • Monitor absence, right to work in the UK, DBS and Occupational health checks and prompt operations team when action is required, in line with the tracking process and protocols.
  • Support managers and supervisors, where appropriate at disciplinary, grievance, capability and absence meetings, acting as a note taker and escalating to the HRBP where required.
  • Ensure the managers and supervisors liaise with the HR Shared Service Ccentre on relevant HR matters.
  • Conduct HR audits for the site as required
  • Run reports from KRONOS/UDC/SAP for analysis purposes as required
  • Maintain staff notice boards ensuring business and site news are regularly updated
  • Attend weekly managers’ meetings and any other business meetings as required
  • Provide administration support to the L&D function as required
  • Filing, post sorting and answering telephone

The Ideal Candidate

Essential

  • Recent, relevant and successful experience in an administrative role
  • Excellent IT skills
  • The ability to plan and organise
  • Experience of working without direct supervision
  • Able to priorities own workload and work to strict deadlines
  • Attention to detail with a high level of accuracy

Desirable

  • Previous experience of HR Administration
  • Knowledge of agenda for changes terms and conditions
  • An understanding of employee relations issues

Package Description

37.5 hours per week

Up to £23,000 - dependant on experience

The role will require you to travel between the 3 main hospital sites as required.
